How to Focus Your Volunteer Fundraisers’ Efforts

How to Focus Your Volunteer Fundraisers’ Efforts

Getting the best fundraising results with productive volunteers.

Your volunteer fundraisers are busy people. You want to make sure that the limited time they have available for your cause is as productive as possible. In addition to providing a quality training program delivering content in a variety of ways to meet most learning styles, you also want to make sure their efforts are focused both by the amount of time they put in to volunteer and by the types of activities you are asking them to do while giving you their time.

Plan a focused fundraising sprint a few times during the year.

It’s best to focus volunteers’ efforts around 2-3 key times of the year. Pick a 1-2-week period and ask them to contact 10 or more prospects during that period. Time this around a key event at your institution, such as homecoming, a giving day, or the end of the fiscal year. You can also host a night of calling/emailing at your campus to get volunteers engaged. This also provides an opportunity for your volunteers to collaborate with one another.

Make sure expectations are clear.

Keep volunteers productive by eliminating guesswork about expectations and processes. With Reeher’s Class Agent tool, we have developed a special portal with built-in workflow to enhance the volunteer experience by making it even easier for them to view their prospects and log their activity. Volunteers receive their prospect list and prepare for their outreach by viewing scripts and prospect background information all from a single location. After they complete their contact launched from the same portal, they can easily log the activity, make any updates to the prospect’s contact information, and the outcome from the call.  If there is a follow-up required, they will be reminded and can view their previous notes to ensure continuity in the outreach. And, when a gift comes in, they will be notified via email, so they can close the loop with a thank you note.

This process was created with the volunteer in mind to help them concentrate their efforts on quality contacts instead of cumbersome tracking or paperwork.

Class Agent has the tools you need to create a smooth, effective experience for volunteers. Publish scripts, enable instant reporting, facilitate easy communication. Try your 14 day free trial to see how it could improve the efficiency of your campaign.
